The challenge

A commercial lease is not a simple form. Its operational meaning can span the original agreement, rent tables, exhibits and later amendments. Teams must interpret that document family and translate it into usable CRM data: dates, parties, premises, payment schedules, notice windows and conditional rights.

Manual abstraction couples expert interpretation with repetitive entry. A team may have to read a long package, reconcile changed terms, populate related CRM records and then check that the entered data still matches the executed documents. An extraction-only tool leaves much of that work unfinished.

The design addressed the complete path from uploaded document to approved CRM update, with the existing real-estate platform remaining the system of record.

02

The designed solution

An external AI processing service prepares a structured lease abstract and returns it to the CRM for review. It handles text extraction, OCR and layout analysis before using structured model output to propose business terms.

Original agreements and amendments are treated as related documents. The service preserves document-level findings and reconciles explicit changes into a proposed effective view, rather than assuming the last uploaded document overrides everything before it. Missing originals, unreadable clauses and conflicting amendments become review issues.

Reviewers see proposed values alongside the source page, clause or table supporting them. Financial terms that vary over time are represented as schedules, while conditional rights retain their relevant wording and evidence. Approval is tied to a specific result version before any authoritative update occurs.

Technical architecture

01

CRM experience

a Salesforce-based real-estate workspace with review components and controlled publishing.

02

Processing layer

Python/FastAPI workers on Azure, with durable queues and private document storage.

03

Document intelligence

OCR/layout extraction and structured LLM interpretation.

04

Validation

types, dates, currencies, schedule continuity, rent arithmetic and source-reference checks.

05

Amendment logic

explicit changes reconciled across the lease family, with ambiguity routed to review.

06

Writeback

versioned approval, stale-data checks, record locking, application-level replay protection and publish receipts.

04

Protecting the CRM update

Approval is not simply permission to overwrite a record. The target data may have changed since the abstract was prepared, and related rent schedules or option records may have changed independently of the parent lease.

The publishing design therefore checks the approved version and relevant record revisions within a controlled update process. Safe retries recognise a completed publish rather than creating duplicate changes. Reconciliation connects approved results with successful writes, while OCR and model work remain outside Salesforce transactions.

05

Intended business value

The design shifts the team from re-keying an entire lease package toward reviewing an evidence-backed draft and resolving exceptions. It aims to reduce repetitive handling while preserving human judgement over consequential terms and maintaining provenance within the CRM workflow.

This is a solution design, not a claim of a completed deployment or measured savings. Its value is the complete architecture connecting AI extraction with the operational controls required to make CRM data trustworthy.
