The challenge

Employees prepare reports, spreadsheets and presentations using information scattered across documents, business applications and shared workspaces. General-purpose AI tools can help with drafting, but an enterprise needs more than a convenient chat interface.

The system must understand which employee is asking, what information that person is entitled to access and which actions the application may perform on their behalf. A useful response also needs to survive beyond the conversation: the employee should be able to create a working document, update a spreadsheet or assemble a presentation without losing the connection to the underlying evidence.

02

The solution

The delivered workflow connected an enterprise AI assistant with the tools and information employees use. Authentication and role-based authorisation governed access to enterprise content, while source provenance maintained the connection between generated output and its underlying material.

An employee could ask for a management briefing assembled from approved reports, a spreadsheet analysis supported by enterprise data or a presentation outline based on an existing document set. The assistant would prepare an editable artefact and retain references to the source material used, including the relevant versions where available.

The work combined productivity-software integration with enterprise data access, RBAC and provenance as parts of the application workflow. Permissions governed what information the employee could use; source references helped them understand the material behind an answer or draft. The integration remained specific to the client's productivity environment rather than assuming office suites share interchangeable connectors or permissions.

Technical architecture

01

Identity

enterprise sign-in, authenticated sessions and role-based access control.

02

Authorisation

checks at retrieval, source access and tool execution, including service-side enforcement rather than prompt-only restrictions.

03

Retrieval

permission-filtered search with source metadata and content-version references.

04

Agent workflows

separate planning, retrieval, calculation and artefact-generation steps with appropriate tool boundaries.

05

Office integration

add-ins or extensions for creating and editing documents, spreadsheets and presentations.

06

Provenance

source references associated with generated claims, sections and analytical inputs, with explicit handling of unsupported material.

User experience

The employee stays close to the work product. They can inspect sources, revise an outline, review proposed spreadsheet changes or edit a draft before sharing it. Generated claims can carry references, while calculations require traceable inputs and reproducible methods. A citation does not itself prove a calculation or statement is correct.

What the work enabled

The delivered RBAC and source-provenance workflow connected AI assistance to the organisation's access boundaries and source material. It gave employees a way to use enterprise information with visibility into where generated content came from, bringing workplace AI into a governed application experience.

The business objective was to reduce repeated information gathering and first-draft preparation while preserving control over content access and its origins.
